How I Use AI to Prep for Every Meeting in 2 Minutes
I have 3-5 meetings a day. I used to spend 10-15 minutes before each one scrambling to find context — who's attending, what we discussed last time, any relevant emails. Now I ask AI to do it. Total prep time per meeting: about 2 minutes.
My Workflow
Before each meeting, I say this (copy it):
Check my calendar for the next meeting. Tell me who it's with, when, and where (include the Zoom link if there is one). Then search Gmail for recent emails with that person. Summarize what we've been discussing. If there's a related Notion page, pull up the key points.
AI returns: meeting time, attendee info, Zoom link, recent email context, and relevant Notion notes. All in one response.
Key Details
Calendar descriptions contain hidden gold. Meeting invites often include Zoom links, agenda items, and prep notes in the description field. But the description comes back with raw HTML (<br>, <a> tags). AI handles this fine — it extracts the Zoom link and readable text automatically. Just make sure your prompt says "include the Zoom link" or it might skip it.
Search Gmail by sender, not by topic. If your meeting is with [email protected], search from:[email protected] newer_than:30d instead of searching for the meeting topic. Topic-based search often misses relevant emails because subject lines don't always match the actual discussion.
Ask for "what we need to decide" not "summary." If you say "summarize our emails," AI gives you a chronological recap. Not useful. Say "what are the open questions or decisions we need to make?" — that's what you actually need walking into the meeting.
Pitfalls I Hit
AI pulled emails from the wrong person. I had a meeting with "Nick Siao" but AI searched for "Nick" and also pulled emails from a "Nick Chen." Fix: use the email address from the calendar invite, not the display name. The calendar event has the attendee's email — tell AI to use that for the Gmail search.
Meeting context from 6 months ago is irrelevant. AI pulled up an old email thread that had nothing to do with today's agenda. Fix: limit the email search to newer_than:30d. If you need older context, the Notion page should have it — that's what your knowledge base is for.
Setup
This workflow needs AI to access Calendar, Gmail, and Notion. In Claude.ai, enable all three in Settings → Connectors. For other AI tools, a unified tool layer connects everything through one URL — one setup, all apps accessible.
